RTI International is looking for Administrative Assistant, 2023 in Dhaka

Job Responsibilities:

  • Liaise with Training Coordinators, Accountant, and Operations Specialist to gather all required documentation from trainings and maintain organized files.
  • Maintain and update database with the correct name, national ID, designation and the registered cell phone number for all training participants and trainers.
  • Using attendance records, prepare payment distribution list for all trainees and trainers which includes the total to be transferred per person.
  • Check attendance sheets, bills and receipts on a daily basis
  • Share individual and vendor payment sheets/bill-vouchers with the Operations Specialist
  • Record all bills/vouchers and attendance sheets physically and electronically.
  • Maintain devices & apps and prepare standby alternatives in case of emergencies.
  • Conduct post distribution monitoring and spot check with the support from the Data Officer/MERLA team
  • Perform administrative tasks as required and assigned by the Operations Specialist.
  • Assist in managing the office filing system for the DPE trainings, including scanning and copying of documents and maintaining proper filing of activity documents in compliance with SMSA and USAID policies and regulations
  • Maintain a log of Training Coordinator equipment. Liaise with Training Coordinators to regularly check on the functioning of their tablets and printers, and help with maintenance or procuring replacements as needed.
  • Share log and any maintenance/replacement needs with Operations Specialist in a timely manner.
  • Assist with photocopying and dissemination of activity documents and other materials
  • Perform any other such tasks as required and assigned by the Operations Specialist.

Job Requirements:

  • Bachelor’s degree in business studies; Social Science. Educational qualification can be relaxed for qualified candidates. 1 years’ experience of working with internet-led financial transactions or mobile money transactions such as Bkash, Nagod, Rocket, etc. and filing and office management experience.
  • Solid knowledge of financial and accounting procedures;
  • Experience working for an international development agency on a USAID funded activity a plus;
  • Experience organizing meetings, workshops and other events preferred.

Skills:

  • Able to write, read & understand English and Bangla;
  • Knowledge of financial regulations;
  • Excellent organizational and time management skills;
  • Attention to detail and ability to manage, prioritize and complete multiple tasks simultaneously and under pressure;
  • Advanced MS Excel skills;
  • Flexibility and ability to work in a busy environment and sometime may be longer than the office hours;
  • Work competently, professionally, and discreetly at all levels within a diverse work environment;
  • Ability to work effectively both as a team member and independently.
